Five new features let applications set recording policy once and apply it to every customer they serve.
Nylas, the communications data layer powering email, calendar, meeting, and agent integrations for thousands of applications, today announced the largest update to Nylas Notetaker since its launch. Five new capabilities are available immediately: deduplication, pause dispatch, per-customer retention policies, custom in-meeting announcements, and custom avatars. Applications can set them on individual requests, or manage them centrally through a new configurations model that defines recording behavior once and overrides it for any individual customer.
Notetaker is the Nylas meeting bot that joins Google Meet, Microsoft Teams, and Zoom on behalf of an application and returns recordings, transcripts, and summaries through the Nylas API. Until now, teams building on any meeting bot have had to write the same surrounding logic themselves: catching duplicate bots when several users from one company accept the same invite, cutting off recording when a customer exhausts their plan, and enforcing retention windows that differ by customer. That work is now handled inside Notetaker.
One Notetaker per meeting
When four people from the same company accept the same invite, most meeting bot integrations send four bots, producing four recordings of one conversation, four hours billed, and four sets of media for the application to reconcile. With deduplication enabled, that group receives one Notetaker. Two different customers on the same call still receive one Notetaker each, so neither holds the other's recording, and the setting can be overridden for an individual user who needs a private copy.
A bot that shows up as the product
Notetaker can now post an application's own messages into the meeting chat, introducing itself when it joins and repeating a recording notice once late arrivals settle, with a debounce window so ten late joiners produce one message rather than ten. For applications selling into healthcare, financial services, and legal, an in-call recording notice is often a compliance requirement. Custom avatars replace the blank participant tile with an uploaded image, so the bot joins under the application's brand or its customer's.
Recording that stops when the plan does
Applications that sell recording by the hour have had no clean way to stop a customer who runs out mid-month. Scheduled bots continue to join and bill, and calendar-sync rules keep creating new ones. Pause dispatch lets the application set a single date on a user, a customer workspace, or the entire application. Nothing joins, records, or bills until that date passes, calendar rules stay in place, and dispatch resumes automatically.
Policy per customer, from one place
Retention moves from a single 14-day default to a per-customer setting, so the customer whose security team requires seven days gets seven while everyone else is unchanged. Configurations tie it together: saved sets of Notetaker defaults that an application defines once for its whole product, with overrides for any customer who needs something different. Nylas resolves the most specific configuration at the moment the bot joins, so a change made today applies to every meeting already scheduled, without the application iterating over each one.

Availability
All five capabilities and the configurations model are available today on every Nylas plan. Existing Notetaker integrations continue to work unchanged. The new capabilities are available through a renamed settings object with identical field names, documented at developer.nylas.com, and there is no migration deadline.
